PDF Export Watermark for Confluence

Who this is for

The app is for teams on Confluence Cloud whose documents leave the wiki: policies sent to auditors, specs shared with vendors, drafts circulated for review. It puts the classification on the document itself — including the ISO 27001-style "uncontrolled copy" marking for printed or exported material — without a full publishing suite.

How to use it

1. 01
   Export the page with Confluence's own exporter

   Open ⋯ → Export → Export to PDF on the page. The app stamps the native export, so layout, links, and images stay exactly as Confluence produced them.

   Open Export with watermark

   On the same page, choose ⋯ → Apps → Export with watermark. For PDFs that aren't tied to a page, open Apps → Watermark PDFs from the Confluence navigation instead.

   Adjust the watermark if you need to

   The default is Confidential, diagonal — the happy path has zero form fields. Change reveals the text presets (Confidential, Draft, Do not copy, Internal only, or custom text) and a diagonal/horizontal toggle for this export.

   Drop the PDF in

   Drop one file or several — batches process one after another, entirely in your browser. Nothing is uploaded.

   The stamped copy downloads itself

   Each stamped copy downloads automatically. Stamping a real 18-page export takes well under a second and adds a few kilobytes per page.

What the watermark looks like

• One large instance per page, centred and auto-sized to span the page
• Diagonal (45°) or horizontal — the same convention as Word, Google Docs, and Acrobat watermarks
• Light gray at roughly 25% opacity, visible without hiding the content
• Stamped over the native export, so layout, links, and images are untouched

Site defaults and lockdown

Site administrators can set a site-wide default watermark under Manage apps → PDF Export Watermark → Configure. The optional lockdown mode ("Require this watermark everywhere") removes the Change button from every export modal, so all exports leave with the mandated watermark. Defaults resolve in layers: built-in → site default → this-export edits.

Privacy and permissions

PDFs are read and rewritten entirely in your browser inside the Forge iframe — document content is never uploaded. The app's single scope, storage:app, exists only to keep the admin default watermark in Forge-hosted storage, which inherits your site's data residency. There is no external egress and no vendor backend beyond the settings resolver.

Current limitations

• The app cannot trigger Confluence's native PDF export itself — the export endpoint has no public API — so exporting is a separate first step.
• Watermark style (size, opacity, color) is deliberately not configurable in this version; only the text and orientation are.
• Per-page classification labels are not part of this version.
• Only PDF files can be stamped; password-protected PDFs are not supported.

Troubleshooting

If the stamped copy doesn't download, check that your browser allows downloads from your Confluence site. If the watermark controls show a lock instead of a Change button, a site administrator has required a specific watermark everywhere — that is lockdown working as designed. If a file is rejected, confirm it is a PDF and not password-protected. If the problem continues, contact support.
